CCCS Executive Committee Meeting

Dinner and Song de-briefing:
~served dinner was very successful
~food was good, and appetizer plate was a nice touch
~in the future, limit the number of long medleys
~musical responsibility should fall on individuals and small groups to select music and practice on their own
~sound system worked well, may want new microphones (not uni-directional) and stands
~background music was excellent (thanks Chuck)
~transitions between numbers were a little rough, but timing of segments was good
~acknowledge participants at Tuesday’s rehearsal and gently emphasize financial aspect (it was successful, but could have been even better)
~how can we expand audience?
~possible themes for next year---Big Band music, songs from movies (perhaps with an Oscar tie-in)
ACTION ITEM: Executive committee recommends purchase of the sound system used at Dinner and Song, and future consideration to purchase microphones and stands. (Members should think about suggestions for next meeting.)
Officer Reports:
1) Artistic Director
~waiting to hear from Mary Greene regarding summer concert at Longwood
~will start to check on venues for fall concert (perhaps WC Methodist or Calvary)
~make temporary arrangements at Good Samaritan, pending success of spring concert
~try to condense score for Gloria before printing (with help from Peter Lerro)
~Valerie Crescenz does not expect compensation for Mass for Peace (it was not a commissioned work, and she is using it as part of her Masters program)
2) VP Performance
~outreach concerts---Lynn Shealey is not having good luck arranging venues since many of them expect free performances, will ask members for suggestions
~would like program info ASAP, i.e. patrons data, bios, program order, etc.
~ACTION ITEM: Chuck will publish a checklist of program items needed
~ACTION ITEM: Members will see that program ads are submitted by March
31st
~Neil suggests that members personalize the letter from Dave Koch to send to
businesses, emphasize the “3 for 2” deal (placement in the next 3 concert
programs for the price of 2)
~ACTION ITEM: Chuck will have postcards for next Tuesday
~ACTION ITEM: Chuck will contact Good Samaritan regarding use of platforms
3) VP Administration
Vocal Competition
~higher participitation this year, excellent winners
~availability of warm-up room and large number of volunteers made it a success logistically
~ACTION ITEM: Gary will contact Ann about scheduling for next year and inform Bob of the outcome
~stress again next year that the event is “open to the public”
Publicity
~Bob will touch base with the committee
~Chuck brought a print-out of services offered by BrandywineRadio.com
~ACTION ITEM: Bob will contact Lloyd Bankson at the radio station
~Peoples Light and Theater ad will appear twice (since it was placed in the wrong production originally)
~waiting to hear from Kennett Symphony
4) Treasurer
~Dave distributed Financial Report
~budgeted $5,000 from Dinner and Song, and we exceeded that
~70% member participation in Patrons Program, still hoping for 100%
~72% of dues paid, Dave will give report to Section Reps
5) VP Development

~committee will make a report in May
~Dave Koch suggests looking into special software programs for non-profits
~Bob says that Access is a flexible general purpose program that can also be useful for other applications
Grants
~submitted grant application to 1675 Foundation for database project, web-site uplift, and outreach programs
6) President
~Neil has contacted June Goss at Longwood Gardens regarding a December performance, and has sent her the Elijah CD
~Tuesday night is Samuel Barber’s 100th Birthday, so we will have a cake to celebrate that as well as to thank the Dinner and Song participants
~videos have been posted on youtube, just type in “chester county choral society” and scroll down to each one
New Business
~APPROVED to accept Jaymie Lacombe’s offer to initiate a Chester County Choral Society group on Facebook
~consider posting musical recordings on the website, send links rather than CD’s to prospective performance venues
~Chamber Ensemble---Ed Meyers and Nicole Socha are working on acquiring performance opportunities
