CCCS Board Meeting
Tuesday February 8, 2010

Attendees:
Officers: Neil Cullen, Betsey Cullen, Bob Morgan, Chuck Cuttic, Sue Davies
Section Reps: Jaymie Lacombe, Carole Grisin
Snow Policy:
~Neil will send an advisory message to members on Monday night
~members should check e-mail and phone messages on Tuesday
~if school closes, then rehearsal will be canceled
~upon receiving information from Rustin, a decision will be made around 3:00 pm
~Neil will send a group e-mail, and section reps will call members of their sections
~if there is no rehearsal, members should review the music on their own
~if severe weather continues, we may need to schedule extra rehearsal time
Report from Artistic Director
~first rehearsal went well
~3rd Barber piece has been ordered
~met with Chamber Ensemble, some rehearsal dates have been set
~Ensemble will demo a Schumann piece for the chorus to help individual members decide whether to sign up for one of the small groups that will sing the Schumann pieces in the May concert
a) Minutes from 12/14/09 Board Meeting APPROVED as read
b) Review action items from 1/11/10 Executive Committee Meeting
~Lynn will coordinate upcoming outreach concerts
~Webmaster has put 3 new sound clips on the website
~ACTION ITEM: Board Members should listen to the clips and give Dave Shealy feedback
~Chuck and Gary are checking on December 2010 venues
Review items from 1/30/10 Board Retreat
~Ron Bolesta will record Dinner & Song, we will use selections as part of a sample CD to submit to outreach venues
~ACTION ITEM: Section Reps will meet after Tuesday’s rehearsal to review job description, discuss ways to encourage section members to participate in committees and to submit mailing addresses
~Neil is waiting for a response from Longwood Gardens regarding December performance
~Mary Greene rehearsals for Testimony of Freedom: Thursday August 18th at 7:30 and Saturday August 20th at 2:30
~ACTION ITEM: Gary will find out how many singers Mary wants/expects
~we will approach membership in the fall of 2010 to determine how many members are willing to commit to rehearsing and singing the 8/20/11 Testimony of Freedom concert
c) Treasurer’s Report---postponed
d) Dinner and Song update
~tickets should be available by Tuesday, 2/16/10
~Ed Meyers will sell tickets before rehearsal, during the break and after rehearsal
~Jaymie volunteered to assist with ticket sales
~members can reserve a table by paying for all 8 tickets at once
~ACTION ITEM: Chuck will create Dinner and Song postcards and have them printed at Kinko’s
~singers can purchase meal tickets for $25 each
~menu choice will be Chicken Cordon Bleu or Broiled Salmon (choice must be made at the time of purchase)
~ACTION ITEM: Bob will send an e-mail regarding ticket FAQ’s
~decorations are under way, committee will meet with Lindsay at Holiday Inn
~members received letters regarding silent auction items
~ACTION ITEM: Dave Koch could send re-cap of best-selling items for reference
~ACTION ITEM: Chuck will send a PDF file of sample concert and Dinner and Song programs for members to print and use for soliciting ads and auction items
~deadline for auction items is 2/26 (with some flexibility since auction list will be done as a program insert)
e) Nominating Committee
~put on radar screen for the spring
~need nominees for VP-Performance, VP-Development, and Secretary
~need committee and chair, Betsey suggested Kathy Kauterman, Neil asked board members to give him for more suggestions that we should consider
f) Spring Concert
~Good Samaritan has risers, Chuck should contact them regarding logistics
~deadline for program is the end of March; need order of music, patrons list, ads, list of auction donors, info about Vocal Performance winners
~ACTION ITEM: Chuck will set up individual deadlines and perhaps recruit an “enforcer” to see that they are met
~ACTION ITEM: Betsey will send Chuck info on Valerie Crescenz
Publicity Update
~committee has contacted Mainline Neighbors, Peoples Light and Theater, radio stations, Kennett Symphony, Philly Fun Guide
Website Design
~Chuck has a friend who does web design professionally. He will have him call Betsey so that she can seek his advice on a recommended budget to meet our requirements as a basis for seeking a grant to upgrade our web site.
~ACTION ITEM: Betsey will apply for grant
